Meetwithwallet as a product is maturing and solving an actual problem in the web3 ecosystem, features such as individual scheduling of meetings, integration with our regular calendar platforms like Google Calendar, Office 365, iCloud, Webdav, are some of the amazing features currently available in the product. While we keep building and learning we recently learnt about a flaw in the group meeting scheduling process which we over time developed our assumptions for and will be looking at validating as part of our product effort to implementing a group meeting scheduling feature, but before that we are presenting in this document what we have learnt about how other products/companies are solving the problem.

This feature on MWW will consider the need for a frictionless process where a meeting participant can either choose to manually input their availabilities or import from their calendar.
  • How it works:
      1. Create meeting: A host can generate a meeting link, enter their availabilities or import from all their calendars (as much as MWW provides). They can then either invite participants from a team (if we choose to implement the Team feature with this) or just share the meeting link.
      1. Share Link: A meeting link is generated for the host to share with his availability already entered. The host can copy and share the meeting scheduling link.
      1. Participants update their availability: When the other participants receives the scheduling link, they can manually input their availability or import from their calendar.
      1. Select team best possible time: For easy coordination, a team that has all the members connected their calendar, the host can see a chart summary of all possible time and can pick a time and share with the team to know if the time works for all.

The Sub-calendar feature in TeamUp is a very important feature that helps color code calendar data.  Here, users can name the schedule/projects, add description (location, guests, and attach files). This feature should come with a limited number of sub-calendars for free plans and unlimited sub-calendars for premium plan users at a fee.
  1. Users should be able to export their data to other calendar services or in csv format.
  1. Users should get access to historical calendar data.
  1. On MWW, Users should be able to create and personalize workflows for bookings, set automated email reminders to invitees and other schedules (for a fee).
  1. Users can get access to customized meeting polls, edit and share the link and also traffic the polls (for a fee).
  1. On MWW,  users should be able to create group polls before the meeting starts to check for the availability of other members — this might be an auto poll sent out 1hr/30mins before meeting time.
  1. Users should be able to invite guests even without them onboarding through email invitations.
  1. Users should be able to send their feedback and questions in the poll after the meetings.
 
New Features Recommendation for MWW
  1. Group Meeting Scheduling:
  • Purpose: The group meeting scheduling feature normally have people entering their availabilities manually and discovering later that they have another meeting scheduled for a time they already entered. This feature on MWW will consider the need for a frictionless process where a meeting participant can either choose to manually input their availabilities or import from their calendar.
  • How it works:
      1. Create meeting: A host can generate a meeting link, enter their availabilities or import from all their calendars (as much as MWW provides). They can then either invite participants from a team (if we choose to implement the Team feature with this) or just share the meeting link.
      1. Share Link: A meeting link is generated for the host to share with his availability already entered. The host can copy and share the meeting scheduling link.
      1. Participants update their availability: When the other participants receives the scheduling link, they can manually input their availability or import from their calendar.
      1. Select team best possible time: For easy coordination, a team that has all the members connected their calendar, the host can see a chart summary of all possible time and can pick a time and share with the team to know if the time works for all.
      1. Schedule Meeting on multiple choice platforms (Huddle, Google Meet, Zoom).
  1. Create a team/sub-team within a team:
  • Purpose/How it works: This feature allows users to create a team for easy time coordination. Once a user is invited to a team and they accept, their availabilities can be fetched from their calendar and this would make it easy for round robin bookings. For sub-teams, the user can create a sub-team within a team.
  1. Round Robin:
  • Purpose: Round Robin scheduling is used to distribute meeting or appointment requests evenly among team members or participants. It's often used in sales, customer support, and other scenarios where you want to ensure that each team member takes an equal share of meetings or tasks.
  • How it works:
      1. Meeting Assignment: When a meeting request is received or created, the app assigns it to the next available team member in the rotation.
      1. Rotation: The rotation can be set up in different ways, such as sequential (each person takes a turn one after the other) or in a more advanced manner based on factors like availability, skills, or workload.
      1. Notifications: The assigned team member is notified about their upcoming meeting or task.
  • Benefits: Round Robin ensures fair distribution of workload and prevents any one team member from becoming overburdened or underutilized.
  1. Meeting Recording/Note Taking:
      • Purpose: Meeting recording and note-taking features are used to capture and store the content of meetings for future reference, sharing, or documentation. These features help maintain a record of what was discussed during the meeting.
      • How it works:
          1. Recording: The app may allow participants or organizers to start recording the meeting, capturing audio, video, and screen sharing if available. These recordings are saved for later playback.
          1. Note-Taking: Participants can take live notes during the meeting, and these notes are typically synced with the meeting's timeline. Some apps also provide templates or structured formats for note-taking.
          1. Storage: Recorded meetings and notes are usually stored in a secure cloud-based system for easy access and sharing.
          1. Search and Retrieval: Many apps offer search functionality to quickly find specific content or discussion points within recorded meetings.
      • Benefits: Meeting recording and note-taking ensure that important information is not lost, and it can be shared with those who couldn't attend the meeting. It also aids in accountability and decision-making by providing a clear record of what transpired.
