The Problem:
Notion has changed their plans and billing and it means we have to make some huge changes on our end as well.
  • The plan we currently have is the Plus plan. It’s still $8/mo, but now is being limited to 100 Guest Collaborators.
  • This is far less than our number of active collaborators, so we need to do some pruning.
The Data:
Current Paid Members (14)
notion image
Current User Count/Guests (597)
notion image
Current Notion Admins (16 so far)
  • This includes only those who have been accounted for in Trewkat’s search to update this list for Season 6.
  • There are no contacts listed for any projects, so this number is likely to increase
  • As new guilds, departments, and projects come online, we’re going to need a growing number of Guests to manage each group’s pages
Goal Paid Member Count (5-6)
  1. Account owner
  1. BanklessDAO Tally Integration
  1. DAO Notion Admin (and backup #1)
  1. Backup person #2
  1. Backup person #3
    New Plans and Pricing
    Solutions:
    Next Actions
    1) Reduce Paid Members
Contact all the folks on the paid list and determine their need for account access.
    Current Count: 7
Remove iSpeakNerd - can be removed pending an active project’s completion
    Restore page access to …
    Keep Domanost
    Keep Icedcool - Tech Infra
    Keep Above Average Joe
    Keep Trewkat
    Keep 0xZFi
    Keep BanklessDAO Tally Integration
    Removed links
    Removed SprinklesForWinners
    Removed 0xLucas
    Removed McEal
    Removed Kouros
Removed Paul - inactive in the DAO
Removed Birdman - inactive in the DAO
    Goal: 5-6
    • 0xZFi — DAO Notion Admin
    • BanklessDAO Tally Integration
      • Needs to have paid access to have integrations
      • Used to have multiple emails with multiple integrations, now it’s just the one
      • This is our « shared account » for Notion/Tally/Integration admin purposes
      • Creds are in bitwarden
    • Above Average Joe — Account Owner

    ⚠️
Before removing members from the paid seats, find out which pages they need access to!
Members can be removed individually, now
Complete the changes before upgrading to Enterprise
    2) Upgrade billing plan from Plus to Enterprise
This increases our billing from $8/person/month to $20/person/month, but unlocks more powerful security and analytics features. We can make this shift to solve existing analytics needs, tighten security, and maximize our Guest Collaborator cap, all while keeping the monthly billing nearly the same as we are currently playing.
How is this billed? Who is billed? Who has to authorize this change in the plan?
Contact this person to initiate the plan change
    • Above Average Joe handles billing for Notion
    3) Re-permission Group Admins using new granular permissions
Let’s see how the new settings work first.
    4) Begin the Guest review using Notion Enterprise analytics
Analytics tools coming soon, it says. Soon™.
    5) Develop best-practices documentation for Guest maintenance
This will require some exploration of the new Notion Enterprise tools. It doesn’t make sense to create documentation before we have the tools, so we’ll need to wait on tackling this for now.
