Hello Facilitators! Peer Review takes place in 2 parts: async written feedback, and a live session. The rest of what’s detailed in this document works best if YOU are proactively informing your teammates to support them in completing these steps.

Setup
  1. When a new contributor is 3 months into their role, have them choose 3 peers to review them for the coming 3 months.
    1. Encourage them to try balancing their selection.
    2. For brand new Gitcoiners, the person who hired them and the contributors who they work most closely with will be their reviewers for the first 3 months (before they engage in this official peer review process)
  1. Every 6 months, a round of Peer Review cycle is held. Contributors share copies of the following questionnaire with their 3 reviewers and ask them to fill it out within a week.
    1. Contributors need to make a copy of that google doc & add their own name to the copy. Then they can pass around their unique link to their reviewers.
    2. Your team can welcome feedback (anon or not) from others besides the chosen reviewers. If they choose to do so, have them make all role descriptions & links to their personal questionnaire available.
  1. Contributors should reflect on their reviews, and complete a self-evaluation.
  1. Set a time for your small group (5-10 folks) for a facilitated group session! If the group is larger than 10 people, consider breakout groups.
 
Sample Live Session (60 min)
  1. Check-in - 5 minutes
  1. Icebreaker - 20 minutes
    1. “Pass a rose” game, “Stones in a Bridge” exercise, or a game of your choice
  1. Important pieces from feedback sessions - 30 minutes
    1. What feedback needs to be witnessed by the group?
    2. What were you surprised by?
    3. What pathways to improvement do you see?
    4. What support or resources would you like access to for your improvement?
      1. Facilitators, make clear the professional development funds available
    5. If extra time here, ask what feedback does the team need?
      1. Can point out strengths/weaknesses of the team as a whole, but try to always break it down into takeaways that individuals can take action on
  1. Checkout - 5 minutes
    1. How was this meeting, and the whole experience of peer feedback?
