How BanklessDAO Uses Notion

How Does BanklessDAO Use Notion?
The BanklessDAO Notion site (the one you’re on right now) is used as a central document store for all of the different work being done by guilds, departments, projects, and anyone else who is part of the team. By default, the entire BanklessDAO site is open to view by anyone for transparency.

Guiding Principles
The following guiding principles are how we make the Notion site work for a decentralized organization like BanklessDAO.
Decentralization
Pages should be published within the guild, department, or project for which they are most relevant. Permissions should be set by groups for their own specific needs. Centralized pages and permissions should be avoided.
Transparency
Pages should be publicly viewable by default, unless there is a GOOD reason to restrict access. Even then, pages in the workspace should not be restricted to a single person.
Continuity
Groups on Discord should have associated pages on Notion. Users should use the same name on Notion that they do on Discord.
Best Practices
These best practices are the guiding principles in action.

🌐 Guilds and projects manage their own permissions/access
As a result of this proposal, Notion administration permissions have been decentralized to reduce potential attacks and increase the ability of groups to execute. This has the added value of reducing the centralized Notion administration that needs to be done.
Permissions for sub-pages are, by default, the same as the page they are created under. This means, as long as a group keeps all pages under a single root page, they can manage permissions in a single place. This connection can be broken, however, to allow for more granular permissions for sub-pages. It can also be restored later for cleanup, so feel free to use this setting as it best fits your group’s needs.

If you want access to edit a page, reach out to the Notion Admin for that group. Most can be found on the
Group Notion Admins
page.
Useful guides:

Note: Under the ‘Share’ menu where permissions are managed, there is a group permission setting for ‘Everyone at BanklessDAO’. This does NOT mean everyone in the DAO. It refers to the group of people who are listed as Workspace Members on the DAO’s Notion subscription.

🔗 Every page belongs to a guild, department, or project
Guilds, departments, and projects are the organizational building blocks of BanklessDAO. Every page (especially those that need to be edited) should belong to one of them to ensure that the people who need to use the page actually have access to it. This includes meeting minutes — every group should have their own meeting notes database.

💬 Notion usernames should match Discord names
This makes it easier to manage permissions, but also for day-to-day activities. Use the @ feature to link their accounts when referenced on pages (attendance, action items, etc.)
Set your Notion name to your Discord name by going to the following:
Settings > My Account > Preferred name

New project champion or Guild coordinator? Here’s a checklist to administer your Notion pages:
  • Default everyone to View only access for the primary Guild page
  • Review all pages within Guild to ensure all Guests only have View access
  • Give designated members of the Guild edit access at Guild level
  • Review all inner pages and give designated members of the Guild edit access to specific pages
