Live Show Deadlines
  • EXAMPLE FOR CS MAIN SHOW: Recording time is Tuesday at 10am
  • >5 days before recording (Thursday the week before): Research must post a completed briefing doc on the Master Calendar with the following to Marketing for redistribution to Design, Copywriting & Social Media The briefing doc must contain:
    • Guest photos & logos (.png format with background removed)
    • Topic
    • Role/title and name of the guest
    • Social media handles for guests & projects featured
Episode Coordination Deadlines
  • Publication time is Friday at 8 AM PST.
  • The host must provide Podcast Credit Roll (intro & outro); and, AV must provide the final content edit audio to Copywriting at least one week before publication.
    • Gives copywriting 48 hrs to finish the episode title and description
  • Copywriting must provide the episode title and description to Design at least five days before publication.
    • Gives design a minimum of 3 days to perform a round of edits
  • Design must provide graphics to Social Media at least 24 hours before publication.
  • AV must upload the final mastered mix to Podbean at least 5 days before publication.
    • Gives AV 2 days to finish the final mix
    • Gives copywriting a minimum of one week to finish chapter titles, timestamps, and transcription

  1. Upload video to YouTube
    1. Copy video settings from previous episode
    2. Add thumbnail; Update title, description and tags
    3. Update date recorded and other settings not copied from previous episode
    4. Add end screen with three elements (one playlist, one video, subscribe)
    5. Schedule for publication Saturday morning between 8:00-8:30 AM PST
  1. Share link in Discord for revision & handoff to Social Media (tag someone)

Design
  1. Create three custom images for Podbean & Social Media
    1. 1080x1080 (Podbean and social posts)
    2. 1080x1920 (Instagram story)
    3. 1920x1080 (YouTube thumbnail)
    4. Images should ideally be created alongside images for the Live Show weeks ahead of the Episode Publication. This means Design will only need to do one round of creating graphics, but two separate rounds of edits (one edit for the Live Show and one for the Episode).

  1. Share link in Discord for feedback & handoff to social media (tag someone)
